Herzog Contracting Corp. is currently seeking an Administrative Assistant for the Metrolink maintenance project located in Rancho Cucamonga, CA.

 

Duties and Responsibilities:

*This is a non-exhaustive overview of the job duties for this position.

  • General clerical assistance to the Finance department and other managers.
  • Responsible for reception and telephone duties, including signing for front office packages.
  • Order and maintain office supplies and breakroom inventory
  • Processing of Invoices. Including scanning, uploading, and inputting data.
  • Locate and attach appropriate files to incoming correspondence requiring replies.
  • Review Craft hours & equipment usage for payroll
  • Schedule meetings, conference calls and video meetings
  • Distribute mail and coordinate outbound shipping as needed
  • Order and coordinate food for meetings and other functions
  • Operate office equipment such as copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications
  • Onboarding of Herzog new hires as needed
  • Processing of Invoices. Including scanning, uploading, and inputting data
  • Process incoming and outgoing correspondence as required
  • Regular and predictable attendance and punctuality are a requirement for this position.
  • Other duties as assigned.

 

Qualifications:

  • High School Diploma or GED
  • Basic computer skills
  • 2-3 years of administrative experience preferred
  • Ability to work in a team environment
  • Must be highly motivated and a self-starter
  • Excellent attention to detail and organization
  • Must have strong interpersonal and communication (verbal/written) skills
  • Must be able to multitask
  • Demonstrated track record of reliability and dependability
  • Must be able to maintain confidential information
  • Demonstrate computer proficiencies with Microsoft Office (Word, Excel, PowerPoint, Outlook)

 

Pre-Employment Requirements:

  • Pass pre-Subject to pre-employment background check and motor vehicle report review.
  • Subject to pre-employment physical, medical evaluation, and drug screen due to the safety sensitive nature of this position.
  • Successfully complete and maintain any required safety certification and testing on an annual basis.
